Important Update on Visa Procedures

Effective from March 17, 2025, the Embassy of Japan will implement new operating hours for the submission and collection of visas. Previously, both submission of visa applications and the issuance of visas were handled during the same hours. However, starting on March 17, these processes will be divided into separate time slots as follows:
  1. Visa Application Submission:  09:30 – 12:30
  2. Visa Collection: 15:00 – 17:00
Note:
Submission of visa applications and the issuance of visas will continue to operate on a live queue basis. We kindly ask all applicants to plan accordingly, factoring in wait times when arriving at the Embassy.


Important Information for Visa Applicants
We ask all visa applicants to please consider the following guidelines when applying for a visa:
  1. Visa Application Form Preparation:
    • Due to the current high number of visa applicants, filling out the visa application form at the Visa Application Center may cause delays for others. Please ensure that your form is completed before arrival to avoid delays.
  2. Document Collection and Submission:
    • Ensure you have gathered all the required documents as listed on the Embassy’s website.
    • Attach the appropriate-sized photo(s) to the application form in advance.
    • Do not staple the application form or other documents.
    • A copy of your passport (or other official documents) must be attached to your application.
    • Please submit color copies of notarized documents.
    • Ensure your passport has at least 1.5 consecutive blank pages. If there are no blank pages available, the visa cannot be affixed, and your application will not be accepted.
  3. Completing the Visa Application Form:
    • In the field “ID No. issued by your government,” enter the FIN code from your foreign passport. The FIN code can be found in the 'Personal Identification Number/Personal No.' section of your passport.
    • In the “Intended Length of Stay in Japan” section, specify the number of days you intend to stay, from the entry date to the departure date.
    • Under “Port of Entry into Japan,” please indicate the name of the airport where you will be arriving.
    • If you have previously visited Japan, list the dates of your prior stays in the “Dates and Duration of Previous Stays in Japan” section. If this is your first visit, leave this field blank.
    • In the “Current Profession or Occupation and Position” field, specify your current job title. If you are unemployed, you may enter “Unemployed” or “Housewife” (or similar). Students should enter “Student” in the “Position” field.
    • In the “Employer Name and Address” section, provide the name, address, and contact number of your employer. Students should list their university’s details, including the name, address, and contact number.
    • Finally, ensure that the application form is dated and signed on the date of submission.
  4. Photo Requirements:
    • Two recent biometric photos are required (for citizens of CIS countries, including Azerbaijan, as well as Ukraine, and Georgia).
    • The background should be plain, and while it may not be white, it must be color-neutral (no textured backgrounds).
    • The photo size should be 4.5 x 3.5 cm.
    • The photo must have been taken within the last six months.
    • Hats are not allowed, except for head coverings worn for religious purposes, provided the facial features are clearly visible. 
  5. Program Document Guidelines:
    • The date of your application must be written at the top of the document.
    • In the “Date” section, include all dates from your arrival to your departure in Japan.
    • Provide a brief itinerary in the “Activity Plan” section for each day of your stay.
    • Include the contact number for the hotel you will be staying at in the “Contact” section.
    • In the “Accommodation” section, list the name of the hotel or other accommodation where you will be staying.
  6. Additional Required Documents:
    • Proof of flight, cruise, or hotel reservations for your trip to Japan.
    • Documents showing sufficient financial resources for your stay in Japan (e.g., a certificate from your employer or a recent bank statement).
      Note: A copy of a bank statement and ID card are not required.
